How do you choose an invoicing system that makes work and life easier?

Fortunately, there are many modern invoicing systems that make your work considerably easier. But how do you choose the right one?

What should you expect from a good invoicing system?

A good invoicing tool should save you time while minimising errors. It should be clear, intuitive and reliable. Basic features that business owners often do not even know about include:

  • recurring (automatic) invoices,
  • bank integration, payment tracking and reminders for overdue payments,
  • exports for your accountant,
  • for self-employed users, some systems can even warn you when you are approaching the VAT turnover threshold or estimate what your taxes will look like for the year.

Which invoicing systems are worth mentioning?

Over years of working with clients, we have seen all sorts. Some tools are better suited to beginners: simple, but with limited options. Others are powerful but more complicated to use. Some are ideal for freelancers; others suit larger teams, traders or businesses needing a combination of invoicing and CRM.

First up is Fakturoid, our favourite. Many of our clients have grown fond of this tool, and so have we. It offers a clear interface, excellent automation, easy invoice handling and payment tracking. It can send reminders, issue recurring invoices, export data for accounting and works very well with banks. It also supports multiple users with different access levels, making it ideal for teams or working with an accountant. What is more, Fakturoid is a Czech product with excellent support and ongoing development. That matters to us: we know it will keep pace with legislative changes and technical innovations.

iDoklad is very popular among new business owners thanks to its simple, intuitive interface. It suits those who issue only a few invoices a month and want a basic but functional solution. For larger companies or those needing accounting system integrations, however, it can be restrictive. It offers several plans, including a free version for up to 5 customers.

Vyfakturuj.cz stands out mainly for flexible templates and payment gateway integration, which freelancers invoicing for digital services or products may particularly appreciate. The system also offers automatic reminders and supports subscriptions. Some users, however, may find its interface less modern. 

BitFaktura is an online invoicing tool suited to small businesses, freelancers and non-profit organisations. It offers a clean, simple interface, easy invoicing, automated recurring invoices and basic statistics. Support for multiple languages and currencies is an advantage for those invoicing abroad. Payment gateway integrations and accounting exports are included as standard. BitFaktura looks simple, but in practice it handles all the essentials.

mPohoda is an online tool from the makers of the traditional POHODA accounting system. It mainly suits business owners who already know POHODA or whose accountants use it. It lets you issue invoices from anywhere, connects to accounting and online shops, and supports basic record keeping. The interface is a little more technical, but the accounting software integration works very well. A great choice for those who want to stay “in the Stormware family”. Still, although I consider the traditional Pohoda the best accounting software in the world, I personally see many limitations in mPohoda,

SuperFaktura is a simple online tool for quick, clear invoicing from anywhere. It is especially useful for smaller businesses or self-employed people seeking simplicity. On the other hand, if you need deeper accounting software integration or customisation, you will encounter limits.

Abra FlexiBee is at the other end of the spectrum: a very comprehensive solution covering invoicing, inventory, payroll, accounting and other modules. It is excellent for medium-sized and larger businesses but can be too complex and demanding to set up for smaller ones. If you only plan to issue invoices and leave the rest to your accountant, we would choose another tool.

Every business owner has different needs: some need a simple tool for a few invoices a month, while others want a comprehensive solution. Whatever you are looking for, what matters is that the system saves you time, is reliable and keeps your accounting in good order. As an accounting firm, though, we have to say that we most enjoy working with Fakturoid. It is a tool that works smoothly, makes our clients’ work easier and enables trouble-free collaboration with us.
